From Old Brand to New Identity Without the IT Headaches

Overview

Scotty's is a UK charity dedicated to supporting bereaved military children and young people following the death of a parent who served in the British Armed Forces. As the organisation continued to grow, it evolved from Scotty's Little Soldiers to Scotty's, expanding its support services to reach adults as well.

To support this change, the charity needed to transition from its existing domain to scottys.org.uk while maintaining continuity across its technology environment.

Although the Microsoft 365 tenant and organisational structure would remain unchanged, the project involved updating user identities, email addresses and connected services across Microsoft 365, Salesforce and multiple third-party applications.

Aztec worked closely with Scotty's to develop a structured migration plan designed to minimise disruption, reduce risk and ensure staff could continue working throughout the transition.

The result was a carefully managed domain migration that aligned with the charity's new identity while protecting day-to-day operations and maintaining user productivity.

Protecting Business Continuity

Domain migrations can create significant operational risk if not planned correctly.

Aztec carried out a detailed assessment of the charity's systems, applications and dependencies to identify potential impacts before any changes were made.

By adopting a phased migration approach, rather than a high-risk "big bang" migration, users were able to transition gradually with minimal interruption to their work.

Careful planning, testing and communication helped ensure access to email, Microsoft 365 services and business-critical applications remained available throughout the project.

Supporting Future Growth

The migration provided a strong technology foundation to support Scotty's next stage of growth and development.

The new domain better reflects the charity's expanded mission while ensuring that staff, systems and services remain connected through a modern Microsoft 365 environment.

With Aztec's ongoing support, Scotty's has a trusted technology partner that can continue to provide guidance, assist with future changes and support the organisation as it evolves.

The Outcome

By identifying potential risks early and following a structured implementation plan, Aztec helped Scotty's complete its domain transition with confidence.

As a result, Scotty's now benefits from:

  • Seamless transition to its new digital identity
  • Minimal disruption to staff and day-to-day operations
  • Continued access to Microsoft 365 services and applications
  • Reduced migration risk through phased delivery
  • Improved alignment between technology and organisational branding
  • A scalable platform to support future growth
  • Confidence that users, devices and services remain fully connected

The result is a future-ready platform that supports Scotty's expanding mission and enables the charity to continue delivering life-changing support to more people across the UK.

The Challenge

To support its evolution from Scotty's Little Soldiers to Scotty's, the charity needed to move from its existing domain to scottys.org.uk.

While the Microsoft 365 tenant and organisational structure would remain unchanged, the project involved updating user identities across Microsoft 365, Salesforce and numerous third-party applications.

With a growing workforce, geographically dispersed staff and a high volume of account logins potentially affected, the charity required a carefully planned migration that would minimise disruption, maintain continuity and protect critical systems throughout the change.

The priority was to:

  • Support the organisation's rebrand and expanded mission
  • Minimise disruption to users during the transition
  • Protect access to email and business-critical systems
  • Reduce risk across Microsoft 365 and connected applications
  • Provide a structured migration plan with clear governance
  • Create a foundation for future growth and development

Our Approach

Aztec worked closely with Scotty's to assess the technical impact of the domain migration and develop a structured, low-risk implementation plan.

Planning and Risk Reduction

Before any changes were made, Aztec reviewed the charity's Microsoft 365 environment, user accounts, device configurations, business applications and third-party integrations.

This helped identify potential risks and dependencies, allowing a detailed migration roadmap to be developed and validated through planning and testing.

The objective was to ensure every aspect of the transition was understood before implementation began.

Delivering the Migration

Aztec provided guidance and support across Microsoft 365 account changes, Outlook reconfiguration, device profile migrations and shared mailbox updates.

The migration plan also considered Salesforce and other connected business applications to help ensure continuity across the wider technology estate.

Rather than adopting a high-risk "big bang" approach, Aztec recommended a phased migration strategy, allowing users to transition gradually while reducing operational risk.

Through technical expertise, proactive planning and ongoing support, Aztec delivered a smooth migration experience that enabled Scotty's to move forward with confidence.

In Their Words

"We recently worked with Aztec to migrate our systems to our new domain, scottys.org.uk, and the experience was excellent. Domain migrations are notoriously complex and carry significant risks for email or other downtime. However, the team at Aztec assisted with the transition seamlessly. They demonstrated deep technical expertise and professionalism throughout the process. Thanks to their proactive approach, our downtime was non-existent, and the transition for our users was completely smooth. If you are looking for an IT partner that delivers projects on time, on budget, and with minimal disruption to your daily operations, I highly recommend Aztec".
